How do I reset my password?
Click the "Forgot Password" link on the login page, enter your registered email address, and follow the password reset instructions sent to your email. If you don't receive the email, check your spam folder or contact support.
What if I don't receive my email verification?
First, check your spam/junk folder. If still not found, ensure you entered the correct email during registration. You can request a new verification email from the login page by clicking "Resend Verification Email". Contact support if the issue persists.
My webcam isn't working. What should I do?
Ensure you've granted camera permissions in your browser (check browser settings). Close any other applications using the camera. Try refreshing the page or using a different browser (Chrome or Firefox recommended). Restart your computer if needed.
What happens if I lose internet during an exam?
The system auto-saves your answers periodically. If you disconnect, reconnect as soon as possible and continue. If you're unable to reconnect before time expires, contact your instructor immediately with your exam ID and timestamp.
Can I use notes or textbooks during the exam?
This depends on the exam type (open-book vs closed-book). Check the exam instructions before starting. The AI proctoring system monitors for violations, so only use permitted materials. Unauthorized materials will result in integrity violations.
How long does it take to get my exam results?
Results typically take 5-7 days after exam submission, depending on the grading workflow (first marker, second marker, and potentially external examiner). You'll receive an email notification when grades are released, and can view them in your dashboard.
What happens when my exam time runs out?
The moment the timer hits zero, a red "Time's Up — Exam Ended" modal appears, all answer fields lock so you can't change anything, and you'll see your violation summary and any grade deduction. Click Accept & Submit to finalise — or wait, and the exam will auto-submit after a 60-second countdown.
Why was my exam blocked from starting?
Most often, your device was detected as Mobile or Tablet. Look at the device tag in the top of your dashboard — if it's red, exams cannot be started from there. Move to a PC or Laptop with a working webcam and microphone, refresh the dashboard, and the tag should turn green.
What is the difference between First and Second Marker?
The First Marker provides the initial grading and feedback. The Second Marker reviews and validates the first marker's assessment for quality assurance. Both markers see the same submission but the second marker also sees the first marker's grades and comments.
How do I claim submissions for grading?
Navigate to "Submitted Exams" in your faculty dashboard. You'll see available submissions for courses you're assigned to. Click the "Claim" button next to any submission. Once claimed, it moves to your grading queue and other markers cannot claim it.
Can I unclaim a submission after claiming it?
Yes, if you haven't started grading yet. Look for the "Release Claim" or "Unclaim" button in your grading queue. Once you've begun entering marks, you'll need to contact an administrator to reassign the submission.
What should I include in my feedback?
Provide specific, constructive feedback referencing the student's answer. Highlight strengths and clearly explain areas for improvement. Include guidance on how to improve. Maintain a professional and encouraging tone. Good feedback helps students learn and grow.
Why can't I see a colleague's exam grades or a student feedback form?
Visibility is scoped per-exam and per-department/programme as of May 2026:
  • Exam grades / submissions are visible only to faculty who appear in that exam's Exam Faculty Assignments. If you weren't assigned as a marker, you won't see those grades — even if you created the exam.
  • Student feedback forms are visible only to faculty in the same department or programme as the student who submitted them (admins always see all).
If you should have access, ask an admin to add you to the relevant exam assignment or check your department/programme on your profile.
How do I create a new exam?
Go to "Examination Centre" → "Create New Exam". Fill in exam details (title, programme, course, date/time, duration). Add questions manually or use the Question Bank. Assign first marker, second marker, and optionally external examiner. Configure proctoring settings, then publish.
How do I download all exam submissions as PDFs?
Navigate to "Submitted Exams", select the specific exam, and look for "Download All" or "Bulk Download" button. The system generates a ZIP file containing PDFs of all submissions with student info, answers, grades, feedback, and proctoring reports.
What is the Question Bank and how do I use it?
The Question Bank is a reusable library of exam questions. Create questions once with full details (text, type, marks, rubric, tags), then reuse them across multiple exams. This saves time and ensures consistency. Access it from "Question Bank" in the admin sidebar.
How do I monitor exams in real-time?
Click "Proctoring" → "Live Monitoring" to see all active exams and students currently taking them. You can view real-time violation alerts, student webcam feeds (if enabled), exam progress, and time remaining. This allows immediate intervention if needed.
What browsers are supported?
The portal works best on Google Chrome, Mozilla Firefox, Microsoft Edge, or Safari (all latest versions). For proctoring features, Chrome and Firefox are strongly recommended. Ensure your browser is up-to-date and JavaScript is enabled.
What are the minimum system requirements?
OS: Windows 10+, macOS 10.14+, or modern Linux. Browser: Chrome/Firefox/Edge/Safari (latest). Internet: 5 Mbps minimum (10 Mbps recommended). Webcam: 720p minimum resolution. RAM: 4GB minimum. Working microphone for audio proctoring.
Why is the portal running slowly?
Slow performance can be due to: weak internet connection, too many browser tabs open, outdated browser, insufficient system resources. Try: closing unnecessary tabs, clearing browser cache, using wired internet instead of Wi-Fi, updating your browser, or restarting your computer.
Can I use the portal on mobile/tablet?
You can browse the portal (view results, read documents, manage your profile) on a tablet or phone, but starting an exam is blocked on tablets and mobile phones. The dashboard header shows a live device tag (On PC / On Laptop / On Tablet / On Mobile) — if it's red, exam-start is disabled and you will be shown a notification modal explaining why. Switch to a PC or Laptop before exam time begins.
Why does the dashboard say I'm on a Laptop when I'm on a PC (or vice versa)?
The device tag uses your browser's user-agent string, screen size, touch support, and (when available) the Battery API to make its best guess between PC and Laptop. Both PC and Laptop are allowed to start exams, so a Laptop-vs-PC mislabel is cosmetic and won't block you. Only Mobile and Tablet detections actually block exam-start.

1 Registration

How to Register:

  • Visit the SPACS Exam Portal homepage
  • Click on "Register Now" button
  • Select "Student" role from the modal
  • Fill in the registration form with the following information:

4 Webcam & System Setup

Before taking an exam, you must set up your webcam:

  • Click on "Webcam Setup" in your dashboard
  • Grant camera and microphone permissions when prompted
  • Position yourself so your face is clearly visible
  • Ensure good lighting conditions
  • Test your camera to verify it's working properly
Proctoring Requirements:
  • You must have a working webcam
  • Your face must be visible throughout the exam
  • Ensure you're in a quiet, well-lit environment
  • No other people should be visible in the camera
  • Avoid wearing hats or items that obscure your face
Device Status Tag (NEW): At the top of your dashboard you'll see a coloured tag showing the device the portal has detected — On PC, On Laptop, On Tablet, or On Mobile. Hover over the tag to see a tooltip describing what the status means.
  • Green tag (PC / Laptop) — you are allowed to start exams.
  • Red tag (Tablet / Mobile) — exam-start is blocked from this device. Switch to a PC or Laptop before exam time.

5 Taking an Exam

Exam Process:

  • Before Exam Start:
    • Exams appear on your dashboard when scheduled
    • Note the exam start time and duration
    • You can only start the exam during the scheduled time window
  • Starting the Exam:
    • Confirm the device tag in the dashboard header shows On PC or On Laptop — mobile and tablet devices are blocked from starting an exam.
    • Click "Start Exam" button when exam time begins
    • Read and accept the academic integrity pledge
    • Review the exam instructions carefully
    • The proctoring system will activate automatically
  • During the Exam:
    • Answer all questions in the provided answer fields
    • Your progress is auto-saved periodically
    • Monitor the countdown timer at the top of the page
    • AI proctoring monitors for violations continuously
    • Stay within camera view at all times
  • When Time Runs Out (NEW):
    • A red "Time's Up — Exam Ended" modal appears the moment the clock reaches zero.
    • All answer fields are locked — you cannot add or change any answers.
